Privacy Policy

The short version

We built COVERED because we’re fitness instructors and we know exactly how chaotic cover can be. We hate WhatsApp group admin. We hate the spreadsheets. We hate the last-minute panic. So we built something better — and the last thing we’re going to do is turn around and be weird about your data.

We will never, ever, ever sell your data… because that would be gross, right? The entire point of our platform is building something people can actually trust.

We collect the data we need to run COVERED. We keep it secure. We never share it with anyone outside COVERED. The only things we do with it beyond running the platform are covered below — in plain English, because life’s too short for legal jargon.

What data we collect

  • Your details: name, email address, phone number
  • Professional information: qualifications, insurance details, class schedules, availability
  • Platform activity: classes taught, covers given and received, invoice totals
  • Account information: club affiliations, admin permissions, rates
  • Location: your postcode, used to match you with relevant clubs and opportunities nearby

What we do with it

We use your data to run the COVERED platform — matching instructors with cover opportunities, managing timetables, and helping you keep on top of your teaching and invoicing.

What we never do — no exceptions, ever:

  • Sell your data to anyone (see above: gross)
  • Share your data with any external third party, with or without your consent
  • Pass your details to advertisers, training providers, or anyone else outside COVERED

And yes, we do have an ads section below. We know. We’re not thrilled about having to write it either, but a privacy policy has to cover everything — including things we’ll probably be too busy building features to actually remember to do.

What clubs can see about you

If you are linked to a club on COVERED, that club can see:

  • Your name
  • Your phone number and email address
  • Your qualifications
  • Your insurance status
  • The times you are teaching or marked as unavailable

Your qualifications and insurance are visible to clubs by design — without them, clubs can’t assess whether you’re right for a class, and you won’t get work. If you’d prefer a club not to have access to this information, the answer is simply not to affiliate with that club on the platform.

Your teaching times and availability are also shown to clubs by default, as this is what makes the cover board work. You can toggle these off in your profile settings, but be aware that doing so may mean you receive cover requests at times you’re already busy, making the board less useful for you.

What other instructors can see about you

If you are linked to a club, either timetabled or approved to cover there, then other linked instructors at that club can see your full name. They cannot see your contact details, qualifications or insurance.

The same applies if you link with an instructor directly, when someone who already has your phone number sends you a cover request and you accept it: you can see each other’s full names, and nothing else.

Anonymised data and industry insights

We may publish anonymised, aggregated insights from platform data — for example: “Body Pump was the most frequently covered class format in the UK last year” or “the average pay rate for a 45-minute class in 2025 was £X.” No individual instructor, club, or operator is ever identifiable in any of this. We’ll share this kind of insight infrequently, and only where we genuinely think it’s useful to the industry.

Who knows — you might even find out you’re owed a pay rise. You’re welcome.

Adverts. Yes, really. Bear with us.

We didn’t build COVERED to advertise to you. And you didn’t join to be advertised to. If you’re here, it’s probably because you’re fed up with WhatsApp chaos — and if you hate WhatsApp chaos, you almost certainly hate Facebook ads too. Who needs a wall of sponsored content when you’re just trying to sort Tuesday’s spin class?

But, because we like to be, well… covered… ha ha… we have added what we would do with adverts should we ever be bothered to run some in the future.

Here’s what we mean in practice:

Your news feed may include occasional cards from COVERED or our industry partners — things we think are genuinely relevant to people working in fitness. This might include upskilling courses, insurance providers, professional directories like EMD, CPD opportunities, or similar. We keep the volume low: no more than six to twelve cards per year.

How we use your data for this: we use your qualifications and postcode to make the ads useful. For example, if we’re promoting a yoga qualification course, we’d show it to instructors who don’t already teach yoga — not to those who do, because they don’t need it. If you opt out of this filtering in your profile settings, we can no longer use your data to exclude you from things you may already have. Weirdly, that might mean you’ll likely see more cards, not less, and some may not be relevant to you… so we have left that option toggled on by default. The cards themselves are still there either way; they’re part of the platform.

Insurance reminders — when your insurance renewal is approaching, your feed may show a reminder along with a small number of providers worth considering. Some may have partnered with us, and where they have, we’ll say so — including any member discount codes they’ve arranged for COVERED users. Those providers never receive your details.

How it’s delivered — feed only. We will never contact you by email, text, or push notification for commercial or promotional purposes. Every card can be cleared like any other post.

We keep this infrequent. It will never be the reason you open the app.

Notifications

Our apps notify you about things that matter to your schedule:

  • Cover assigned to you that needs your approval
  • New cover opportunities on the board that match your qualifications
  • Feed posts and notices from your clubs
  • Other relevant platform activity

You can manage your notification preferences in the app at any time.

Where your data is stored

Your data is stored securely on Supabase infrastructure with appropriate technical and organisational safeguards. Your timetable, your rates, your instructor records are yours, and we treat them that way.

Your rights

Under UK GDPR, you have the right to:

  • Access the data we hold about you
  • Correct anything that’s inaccurate
  • Delete your data (right to erasure)
  • Object to how we process your data
  • Portability — receive your data in a usable format

To exercise any of these rights, contact us at [email protected] and we’ll respond within 30 days.

Deleting your account

Instructors can delete their account in the app: Profile → Delete Account. Deleting your account removes your login, contact details, qualifications, club links, connections, availability and insurance details. Classes and covers you agreed to stay on club schedules and invoices, with your name, because clubs need accurate teaching and payment records. You can also request deletion by emailing [email protected].

How long we keep your data

We keep your data for as long as your account is active. If you close your account, we’ll retain data for a reasonable period to cover any outstanding disputes, after which it will be deleted. You can request deletion at any time.

Cookies

We use only the cookies necessary to keep you logged in and the platform functioning. We don’t use tracking or advertising cookies.

Changes to this policy

If we make significant changes to this policy, we’ll notify you in the app. Continued use of COVERED after that notification means you accept the updated policy.
